Responsibilities include but are not limited to: Responsible to direct activities concerned with administration of contracts awarded and responsible to perform a variety of clerical duties and office support duties.
General education, grammar and arithmetic, GED or high school diploma or equivalent.
2-4 years in a demanding construction or business related environment required. Experience with competitive bidding preferred
Understanding of contract administration for governmental construction work beneficial
Duties and Responsibilities
Coordinates activities concerned with administration of proposals and activities of bids and contracts awarded.
Works with other Contract Administrator and Administrative Assistant to balance tasks and responsibilities on our overall contract workload.
Obtains all necessary documents for contracts including bonds, insurance, sublets, etc.
Process prepared bids and approved amendments to or extension of contracts.
Performs job maintenance including editing the job headers and budget lines in JDE.
Performs contract billings and month end contract entries and reversing entries for jobs.
Closes jobs on the WIP when complete and maintains appropriate files in job boxes.
Processes subcontracts, verifying proper supporting documentation including bonds and insurance.
Processes subcontract payments for approval by project manager and payment by AP.
Final contract close-outs including maintenance bonds.
Tracks contract performance as it pertains to the administration of the contract paperwork.
Works with DBE commitments, Stockpile Material Payments and Fuel Cost Provision for the South Dakota Work
Communicates with and maintains relationships with relevant subcontractors, DOT offices, bonding companies, and state and federal agencies as applicable.
Support as requested for any operational management needs in relation to contract and insurance issues.
Receives and processes requests for deviations from contract specifications and delivery schedules.
Track job bid results.
Communicate effectively (verbal, listening, written) and work with difficult people under high stress situations. Self-motivated, team-player with good interpersonal skills; ability to maintain positive customer relations & act courteous/respectful of others.
Troubleshoot and problem solve situations/problems (material quality, equipment operation/repair, etc.). Monitor and discuss production problems with co-workers and managers/supervisors.
Works on DOT audits in addition to assisting with other audit requirements.
Performs other duties as assigned by management.
