Job Purpose

The purpose of the Workplace Experience Operations manager (WE Operations Manager) is to manage, evolve and implement all workplace experience tools including enabling the development and deployment of the FM transformational and base Training in a standardized manner across the portfolio.

For training the WE Operations Manager will work to create a harmonized - FM specific - training and education experience for all FM and IFM employees globally. Role responsibilities include managing and supporting current and future learning platforms, standards, processes and metrics across all regions in the Enterprise Facilities Management organization.

The WE Operations Manager will also enable the, development, deployment, governance & communications for the workplace experience tools such as the Workplace Experience Guide, Leesman Survey, WE Certification assessment tool (WEAT), Community Spaces Assessment tool (CSAT) and the biannual Leesman Survey.

Key relationships include close collaboration with the regional Workplace Strategy leads, the FM site agnostic WE managers and FM regional organization.

As a WE Operations manager, your typical day may include:

Development, deployment, governance & communications lead for the workplace experience tools

WE Guide

o Owner of the Workplace Experience Guide.

o Lead Governance.

o Collaborate with FM, Partner functions and IFM vendors to continually evolve the guide to meet the needs of the business, FM organization and partners.

o Manage maintenance and guide upkeep.

WE Certification

o Manage the WE certification process ensuring timely completion by sites.

o Co-ordinate the data analysis at a strategic and tactical level.

o Identify and agree sites to focus on to achieve early certificate completion.

o Coordinate with WE Regional Strategy leads focus areas and consolidate feedback.

o Preparation of summary analysis slides for senior leadership.

o Lead Governance.

o Point of contact for Certification requests - coordination and administration.

Community Spaces Assessment tool (CSAT)

o Manage the CSAT process ensuring timely completion by sites.

o Co-ordinate the data analysis at a strategic and tactical level.

o Preparation of summary analysis slides for senior leadership.

o Lead Governance.

o Point of contact for CSAT requests - coordination and administration.

Leesman Survey

o Manage the bi-annual survey process to ensure maximum response rates for Type 1 & 2 sites.

o Co-ordinate the data analysis at a strategic and tactical level.

o Ensure timely feedback of results for sites and connect with the WE Regional Strategy Leads to coordinate communication within the regions.

o Preparation of summary analysis slides for senior leadership.

o Point of contact for Leesman requests – coordination and administration.

• Learning & Development Platform Lead will implement and maintain the EFM training program including:

o Manage the design and development of training & education initiatives and platforms such as WElearn. o Support Global communication efforts related to training and education. o Link additional training opportunities to user profiles (e.g. J&J internal optional courses, external preferred courses, etc). o Manage consistent content approach for FM related training. Organize professional voice-over modules and translation if necessary. o Assist the FM LT to establish core and job function training requirements for every job function. o Establish training process for new hires. o Assign Annual FM Training curriculums. o Ensure that personnel are qualified to perform FM related activities by generating and communicating training metrics, forecast and late reports for personnel and managers. o Support user and manager requests for information on the training program. o Collect and maintain job description (i.e. position description) and summary of experiences in TruVault. o Conduct the Annual Review of Training Records for all functions. o Assist process owners and document authors to identify training audience(s) and determine the need for training effectiveness evaluation for new/revised procedures. o Maintain training materials and records, including archiving records. o Facilitate, organize and deliver regional instructor led training sessions as needed (f2f and/or virtual). o Analyze existing processes and if necessary assist with the development of new processes to align with the Summit.

• Manage Operational Readiness Support – Transformation Training Development

o Execute training roll-out as per phased deployment schedule across all regions (using SUMMIT). o Align with training owners to ensure materials are made available for training deployment, in the right place and accessible. o Manage the timely collection of feedback after each training module, and facilitate feedback report monthly (FMLT purposes) and drive continuous improvement by sharing feedback with training owners. o Monitor training participation levels for both J&J and IFM vendor employees and co-ordinate appropriate reporting materials for FMLT purposes. o Create, maintain and update WElearn SharePoint site and undertake relevant improvements as required (e.g., creation of FAQ). o Manage deployment workaround for IFM vendor employees not on J&J system, and work with IFM vendor to ensure all of the above is achieved for IFM vendor employees. o Track IFM vendor internal training deployment and alignment with J&J requirements

Qualifications

• A minimum of a bachelor’s Degree is required. Master’s degree is preferred.

• A minimum of ten (10) years professional experience with a minimum of five (5) years in Facilities Management or related function.

• Prior technical knowledge with learning management systems is required – experience with Summit is desirable.

• Curriculum development experience is required.

• Training design and development experience and knowledge of adult learning strongly desired.

• Intermediate knowledge of MS Excel, Word, and PowerPoint is required.

• This candidate must possess the ability to work independently and efficiently with the ability to manage multiple assignments with conflicting priorities, ability to address issues quickly, be detail-oriented, and can manage white space in an ever-changing environment.
