Job Summary:

The primary purpose of this position is to coordinate and manage installations and inventory for the branch on a daily basis

*Essential Functions and Responsibilities:

  • Schedule residential and commercial installations upon receiving work orders for the branch.

  • Order and receive equipment to facilitate installation and service by maintaining minimum stock of materials, focusing on Just In Time Delivery.

  • Work with installation technicians on job status updates. Contacting customers to reschedule and coordinate completion of projects as needed.

  • Maintain proper inventory control. Ensure that all items entering and leaving the warehouse have complete and proper documentation.

  • Keep stockroom orderly and neat.

  • Determine proper vendor and costs for all purchases. Search all warehouses in the inventory system prior to ordering to check for in-stock items.

  • Perform quarterly physical count of inventory.

  • Process, track, and prepare all local A/P invoices and PO's for inventory within 48 hours of receiving them. Verify inventory invoices have been applied to job costing and are coded correctly prior to sending on for approval.

  • Maintain proper documentation for damaged and defective parts being sent for repair or credit, verifying equipment repairs and warranty parts are turned into the vendor for credit.

  • Complete requests for credit as needed and obtain necessary approvals.

  • Coordinate subcontractors and rentals for installations

  • Call for rental pickups when technician has completed work associated with the rental company.

  • Apply subcontractor invoice costs to work orders and service tickets daily.

  • Other duties as assigned by the Operations Manager.

  • As this position develops, the employee may be assigned additional duties or special projects as deemed necessary by management.

Position Requirements

Education and/or Experience:

  • High School Diploma or GED is required.

  • 1 year minimum data entry and/or administrative support experience preferred

  • Previous inventory experience preferred.

Knowledge/Skills/Abilities:

  • Must have strong computer skills and have experience in Microsoft Word and Excel

  • Must possess the ability to quickly learn in-house software programs.

  • Must have excellent written and verbal communication skills in addition to customer service skills.

  • Must be detail-oriented, able to handle multiple tasks and manage time effectively

  • Must be able to lift up to 70lbs.

Licenses/Certifications:

  • Must be able to obtain State of Iowa security license and State of Illinois PERC per company policy.
